Your Event With IAZ Photo Studio, Step by Step From the First Message
Last updated:

Booking IAZ Photo Studio takes three moves: you check your date, you sign the contract from your phone, and you hold the date with a $500 deposit. After that, the balance is paid in installments, the itinerary arrives a month before, and you choose your photos within 4 weeks after the event.
The eight steps from your first message to your delivery
- Check your date. Send the form, call or text (602) 753-7969 with the date, the event type and the city. We reply within 24 to 48 hours with availability, and with a travel quote if the event is beyond 50 driving miles of Tempe, Arizona (I-10 and US-60).
- Read and sign your contract from your phone. It lists your package, everything it includes and the price of each extra. Read it first; signing and paying are two separate steps.
- Hold your date with a $500 deposit. The deposit is deducted from your total. Once your date is held, we turn down other families who ask for it.
- Pay the balance in installments. The balance is paid in full one month before the event.
- Send your itinerary one month before. Include the times, the addresses, the special dances, any surprise the family is planning and a short list of the people who can't be missing from the group photos. Any change after that goes in writing.
- Enjoy your pre-event photo session. It takes place at least 2 weeks before the event. If the person being photographed is under 18, an adult family member must be there.
- Live your day. Your coverage hours are continuous. Travel between locations and waiting time count inside those hours, and coverage runs until 10:00 pm.
- Choose your photos and receive your delivery. You select your photos in your online gallery within 4 weeks after the event. Usual delivery is 2 to 4 weeks for photo only and 4 to 8 weeks for photo and video, counted from your selection.
Why IAZ Photo Studio asks for the itinerary a month before
The itinerary lets the team plan where each camera needs to be before a moment happens. A surprise entrance looks best when the cameras are already in place, so keep the secret from your guests, not from your photo and video team. The same month is when the balance is paid, so the last weeks are about the day, not about payments.
How you sign your IAZ Photo Studio contract online
You review and sign your contract online through ShutterTerms (opens in a new tab), from your phone. ShutterTerms is the contract tool our co-founder Cristobal Varela built for photographers and videographers, from what more than 500 events since 2004 taught us.
The contract covers the money (deposit, installments, cancellation and date changes), the day (hours, end time, locations and travel), the delivery (photo selection, usual times, storage and printing) and what happens if something goes wrong (illness, equipment and weather).
What you can count on if something goes wrong
- If your photographer or videographer gets sick: IAZ Photo Studio tries to send another member of the team. If no one can cover your event, you get a full refund.
- If a camera fails: two video cameras film every event we film, and the team brings backup equipment. If an equipment failure still affects your coverage, you receive a partial or full refund.
- If a computer fails: every photo and video file is copied to three places before the edit begins: the editing station, the studio server and an external drive.
- If the weather turns: the team can wait out rain or heat; that waiting time counts inside your coverage hours.
Another photographer or videographer at your event
Another photographer or videographer can work at your event when the two crews agree on positions before the day. Guests' phones are always welcome; we just take the group photo before the phones come out.
| Moment | What the two crews agree on |
|---|---|
| Entrance and aisle | Who takes the center of the aisle and who works from the side |
| Ceremony or Mass | Fixed positions, and what the church or venue allows |
| First dance or waltz | Which side of the floor each crew takes |
| Lights | Who uses flash and who uses video lights |
| Group photo | One person directs it, so the group knows where to look |
- Tell us before you book. Give us the other crew's name and contact, and we agree on positions and the order of the day with them.
- One person leads each posed moment. In unposed moments, like the vows or the toast, each crew works from the spot agreed on.
- If another crew blocks our shots, we ask them and you to stop. If it keeps happening, we can end our coverage that day.
- If you already hired one side, a photo-only or video-only package covers the other; see the packages for events across Arizona.
Questions families ask before they book
How much is the deposit to hold my date?
$500. It holds your date only for you, it's deducted from your total and it isn't refundable.
Can I pay in installments?
Yes. After the deposit, the balance is paid in installments and must be paid in full one month before the event.
Can I change my event date?
Yes, once, 4 months or more before the event, if the new date is free. Otherwise the change costs $500.
What happens if I cancel?
If you cancel 4 months or more before the event, you lose only your $500 deposit. With less than 4 months, everything paid is lost.
What happens if the photographer gets sick?
IAZ Photo Studio tries to send another member of the team. If no one can cover your event, you get a full refund.
Until what time do you cover the event?
Until 10:00 pm. Each hour after that costs $150 and is paid before delivery.
Can I print the photos I download?
Yes. Your digital downloads include permission to print the photos for personal use. IAZ Photo Studio keeps the copyright, and when you book we send you a code for 20% off professional prints ordered online.
How long do you keep my photos and video?
One year. Download your gallery and keep a backup within that first year.
Who pays for parking or venue entrance fees?
The family. Parking, entrance fees and similar costs on the day are not part of the package.
